Corporate Event Planning Is Not For The Feint Hearted

Even a rudimentary perusal of the social pages in any newspaper or magazine will reveal just how many big events are hosted in every city every year. Corporations often host elaborate functions and they spend a lot of money on making the best possible impression to create a positive image. These functions always have a very specific purpose, however and that is why big businesses make use of the very best professionals in the field of corporate event planning.

Corporations host events for many different reasons. They celebrate major achievements, they honor valued clients and business partners, they introduce new products, they raise money for charities and they perform public relations exercises, to name just a few. When hosting events, companies want to make sure that everything goes smoothly and that the guests will remember the occasion for a long time.

There are many so called function organizers that think that all that is required is to book a venue, some caterers and sometimes even some entertainers. This is not the case. Top organizers are multi skilled individuals. They are able to plan meticulously, the can coordinate many activities at the same time and they know how to manage and motivate teams. Most organizers have extensive contacts in all the fields related to big events.

In order to make sure that the goals of the client will be achieved, the organizer needs to be fully briefed. Not only must he know exactly what the available budget is, but he also needs to know who the guests are, what the purpose of the function is and whether the client has any specific ideas on matters such as the venue. It is also necessary to appoint someone within the corporation to liaise.

Top organizers never confront their clients with a final plan. Instead, they present several options to the client, allowing them to make decisions on matters such as the venue, the catering, the entertainment and the theme. They are also ready to point out the strengths and weaknesses of every option that they present. In this way, by making most final decisions the client takes ownership.

Next, the organizer will develop action plans that cover every eventuality and even the smallest details. Arrangements will be made with all service providers and each team will be given a time table. The role of the organizer is to coordinate all efforts, to make sure that nothing goes wrong and to deal with conflict and other problems. Regular feedback to the client is also of vital importance.

Hiring a top organizer does not come cheap. Their fees are but a drop in the bucket when compared to the overall cost of a major function. Companies that try to save money by organizing their own events learn to their own detriment that this is a recipe for disaster. It is all too easy to overlook small but vitally important details and to thus host a function that will not achieve the desired goals.

The very reason why corporations appoint professional organizers is to allow the hosts to do what they do best without having to worry that anything will go wrong. It is the job of the organizer to make sure that everything goes smoothly and that the guests are happy. This requires attention to detail and lots of experience.
